Pre-Event Onboarding
Check your email for media server account details
Reo will have sent you a Nextcloud login via email before the event. Check your inbox (and spam folder). Your credentials give you access to the shared FurDU media server where all files are stored and reviewed in real-time.
Install Nextcloud and sign in
Download the Nextcloud app on your phone and/or laptop. Sign in with the credentials from your email. Confirm you can browse the FurDU/2026/ folder before the event starts — don't leave this until Day 1.
Sync your camera clock to Brisbane time (AEST)
Correct timestamps ensure files sort together correctly when Reo culls across both shooters. Brisbane (AEST, UTC+10) does not observe daylight saving — it is always UTC+10.
Time is sourced from the server and ticks locally — accurate to within a second.
Use camera default file naming — do not rename files on import. Set the clock before Day 1 and check it again at your morning briefing each day.
Collect your media badge from ConOps
On Thursday or Friday before shooting starts, go to the ConOps desk and find a ConOps staff member. Let them know Reo sent you — they will have your media badge ready to issue. Wear it visibly on your lanyard at all times during the event.
Join the ConOps network before the convention opens
When you collect your badge from ConOps, also request the ConOps Wi-Fi credentials (or ask about a wired ethernet drop at your offload station). Connect your laptop to the ConOps network and confirm Nextcloud syncs before Day 1 shooting starts. The venue public Wi-Fi is unreliable for large file transfers — ConOps network access ensures your offloads go through cleanly.
Prepare your offload setup
Before the first shoot day: label all your cards clearly (NEON-A / NEON-B or JARROD-A / JARROD-B). Collect FurDU-issued cards from ConOps before the start of the con. Confirm your card reader is accessible. Know your offload windows from the Offload Schedule below.

Before Day 1, read the full Offload Workflow section of this guide. It covers the standard offload process, card rotation, backup procedures, and the fallback plan if ConOps is unavailable. You are responsible for your own offload — do not rely on other team members or ConOps staff to do it for you.

After offloading, the ConOps workstation syncs automatically to the Nextcloud server for Reo (Philippines) to access in near real-time.

Offload Workflow
- At your scheduled offload window, swap cards: remove the active card from camera and insert your swap card. Camera is now ready to shoot again.
- Head to ConOps with the active card during the break window — don't skip or delay.
- At ConOps, insert the active card into the PRO-Reader (microSD: insert into SD adapter first).
- Copy files to the server:
FurDU/2026/[Photo/Video]/[Shooter Name]/[Activity_Name]/ - Do not format the card until the copy is fully offloaded into local storage.
- Log the offload in the Telegram chat.
- Once confirmed, take the card back — it is now your swap card for the next window.
microSD adapters
Always insert the microSD into the SD adapter before inserting the adapter into the PRO-Reader. Keep adapters labelled alongside the cards.
Never pull the microSD out of the adapter while the adapter is still in the card reader. Always eject and remove the full adapter from the reader first, then slide out the microSD. Removing the microSD mid-read can corrupt the filesystem and destroy all data on the card.
File Naming
Use camera default file naming — do not rename files on import. Set camera clock to AEST (UTC+10) before Day 1 to ensure correct timestamps across all devices.
Activity Folders
Create a new subfolder for each activity within the day folder (e.g. Fursuit_Walk/, Opening_Ceremony/). This makes culling and sorting significantly faster for Reo. When in doubt, use a descriptive folder name rather than dumping everything into the date folder.
Equipment storage
If you need to store any of your equipment at ConOps during the day, ask a ConOps staff member for permission. Overnight storage also requires explicit ConOps staff approval — do not leave gear unattended without confirmation.
Each shooter carries two FurDU-provided cards. Only one card is in-camera at any time. Each member handles their own rotation — go to ConOps yourself; do not delegate to staff.
- At the offload window, swap cards at your shooting location: remove active card, insert swap card. Camera is ready.
- Go to ConOps with the active card and run the offload.
- Once copy is confirmed, take the card back. It is now the swap card for the next window.
Offload 1: slot NEON-B in camera → take NEON-A to ConOps.
Offload 2: NEON-A cleared → slot NEON-A in camera → take NEON-B to ConOps. Repeat.
Files must exist in at least two locations before any card is formatted.
- Primary: ConOps workstation local copy.
- Secondary: Nextcloud server sync confirmed (Reo acknowledges in Telegram group).
- Do not format cards mid-convention unless you are critically low on storage and both copies are verified.
- Post-convention: keep cards unformatted until the final gallery is delivered.
Equipment storage
Gear may be stored at ConOps during the day. To leave equipment overnight, ask a ConOps staff member for permission first — do not assume overnight storage is available.
Use this workflow if the ConOps PRO-Reader is unavailable, all ConOps machines are down, or you cannot reach ConOps during your offload window.
What to use
- Your own laptop with a personal SD card reader (preferred — fastest).
- Your phone via a USB-C / Lightning SD reader (adequate for temporary holding).
- Another team member's laptop if yours is unavailable — notify them first via Telegram.
Fallback offload steps
- Swap cards as normal at your shooting location.
- Insert the active card into your own card reader connected to your laptop or phone.
- Copy files into a local folder following the same path structure:
FurDU/2026/[Photo/Video]/[Shooter Name]/[Activity_Name]/ - Connect to ConOps wifi/ethernet, log in to the FurDU Media Server from your laptop, and start transferring files.
- Post a message in the media Telegram group: offload number, device used, file count, and that ConOps was unavailable.
- Do not format the card until the files are on the local machine.

Communication
Primary channel: Telegram. Reo is reachable approx. PHT 9 AM – 11 PM (= AEST 11 AM – 1 AM).
For urgent requests, DM Reo on Telegram with the Nextcloud file path. ConOps posts offload confirmations to the media Telegram group.

Estimated Deliverables & Quota
Shooters task: capture and upload. Reo's task: cull, edit, and publish.
Upload all files exactly as captured — unedited, unculled RAW photos and raw video files straight from the card. Do not delete, reorder, rename, or apply any software edits before uploading. Reo handles all culling, colour grading, and publishing from the raw files on the server.
All photos and videos from each day must be fully uploaded to the server before you end that day. Reo works overnight from the Philippines — if files aren't on the server by end of day, same-evening and next-morning turnarounds cannot happen.

Jarrod — capture vertical clips for social media
At each major event (ceremonies, Fursuit Walk, DJ sets, Floor Wars, Talent Show), capture at least 1–2 short vertical (9:16) clips by rotating the A7S III to portrait orientation. Aim for 15–60 seconds each — crowd energy, a performer/DJ in action, or a key reaction moment. These go directly to Reo for same-day social posting and do not replace your primary horizontal coverage.

Glossary
Workflow & Event Terms
Pass
A short, time-boxed visit to a non-primary event (typically 15–30 min). The shooter drops in, captures key frames, then moves on — full-event coverage is not required.
Primary event (⭐)
A high-priority event requiring continuous full coverage for its entire duration. At least one shooter must be present from start to finish, no exceptions.
Assigned event
A coverage target in your schedule — not a mandatory full-duration commitment. Shoot until you meet the quota, capture highlights, and have a good set of shots. Once satisfied, you can roam and explore the con until your next assignment. Just be back on location before the next scheduled block.
Solo window
A scheduled block where only one photographer covers an event — because the other is offloading, on a pass, or on break.
Offload window
A scheduled gap in programming where one or both shooters head to ConOps to transfer files from their active card to the server.
Staggered offload
Jarrod offloads first at a DJ transition or event gap, then Neon offloads 15 min later — ensuring at least one shooter stays on the floor at all times.
Wrap offload
The final end-of-night offload after the last shooting block. All remaining cards are transferred before both shooters finish for the day.
Card rotation
The two-card system: one card is active in-camera, one is in-pocket as the swap. At each offload window, swap cards so the camera is ready immediately while the full card is offloaded.
Culling
Post-shoot selection process: unusable, blurry, duplicate, or otherwise reject shots are flagged and removed before editing begins. Reo's task — do not pre-cull before uploading.
Shot & Coverage Types
F+B
Front and Back — the standard full-costume documentation shot at the Costume Competition. One frame from directly in front and one from directly behind, showing the full build. Required for every entrant.
A-roll
Primary footage; the main subject in-frame — speeches, performances, competition routines. Locked-off ceremony records and Flowline competition videos are A-roll.
B-roll
Supplementary footage — crowd reactions, venue atmosphere, behind-the-scenes. Used in editing to cut around A-roll. Most of Jarrod's walkabout video is B-roll.
Locked-off
A tripod-mounted shot with a fixed frame — no panning, tilting, or movement. Used for full-ceremony records (Opening Words, Closing Ceremony) so the stage is always in frame.
Vertical clip (9:16)
A portrait-orientation video clip shot by rotating the camera (height > width). Used for social media stories and reels. Jarrod captures 1–2 of these at each major event.
Burst shooting
Holding the shutter fires multiple frames per second (R6 II: up to 10fps mechanical, 40fps electronic). Used to capture peak action — jump apex, spin peak, winning-moment reveal.
Camera Settings & Modes
Av (Aperture Priority)
The photographer sets the aperture (f-stop); the camera selects shutter speed automatically. Used for controlled-light environments like panels and meetups.
Tv (Shutter Priority)
The photographer sets the shutter speed; the camera selects the aperture. Used when freezing motion is critical — Dance Competition (1/640s+), Fursuit Walk (1/500s).
M (Manual)
Full manual mode — the photographer controls aperture, shutter, and ISO independently. Used for flash work (Costume Competition: 1/200s flash sync, ISO 400, f/5.6).
IBIS
In-Body Image Stabilisation. Hardware in the camera body that compensates for hand-shake, enabling lower shutter speeds without blur. Engage on both cameras during handheld low-light shooting.
TTL
Through-The-Lens flash metering. The camera measures light through the lens and automatically calculates flash power for correct exposure. Used with the Godox V1 Pro.
Subject tracking / AFCS
Autofocus Continuous with face/eye subject tracking. The camera locks onto a moving subject and maintains focus automatically — essential for dancers, fursuiters, and crowd candids.
Manual WB
Manual White Balance. The photographer specifies a fixed colour temperature in Kelvin (e.g. 3200K for warm booth lighting) instead of letting the camera auto-detect it. Ensures consistent colour between passes.
RAW
An uncompressed or minimally-processed capture format straight from the camera sensor, preserving maximum editing latitude. Upload RAW files to the server exactly as captured — never edit or delete before uploading.
High-pass filter
A microphone setting (on the RØDE VideoMic ProPlus) that rolls off low rumble and bass frequencies — reduces HVAC hum, crowd low-end, and handling noise in indoor and outdoor audio.
Camera Profiles (Sony A7S III)
S-Log3
A flat, low-contrast Sony log recording profile that captures maximum dynamic range. Footage looks grey and washed-out out of camera — requires colour grading in post. Used for key video events where highlight retention (stage lighting, windows) is critical.
S-Cinetone
A Sony picture profile that applies a natural-looking, film-like colour science in-camera. Ready for use with minimal grading — slightly more contrast than S-Log3 but usable as-is for B-roll and social clips. Jarrod's default for general coverage.

FurDU-supplied electromechanical gimbal stabiliser (5–12 kg capacity). Used for all moving/tracking video — Fursuit Walk, Floor Wars, DJ roam shots. Must be balanced at the start of each shoot day.
PRO-Reader
SanDisk PRO-Reader at the ConOps workstation (FurDU-supplied). The primary card reader for all on-site offloads. Use your own personal reader only as a ConOps fallback.
Atomos Shinobi II
FurDU-supplied external HDMI monitor (via SmallRig cage + Micro HDMI). Provides calibrated live exposure confirmation and critical framing on key video events. Powered by USB-C Power Delivery.

Neon's personal TTL round-head flash. Primary flash for panels, meetups, and the Costume Competition — always used with the included diffuser dome for softer light.

ConOps
Convention Operations — the main staff hub room. Hosts the offload workstation (PRO-Reader), approved equipment storage, and the staff-only ConOps Wi-Fi/ethernet access point.
ConOps network
The staff-only Wi-Fi and/or wired ethernet at ConOps. Used for all Nextcloud file transfers. Do not share credentials — extra devices degrade transfer speeds for the whole team.
Nextcloud
The FurDU media team's self-hosted file server. All files transferred at ConOps sync to Nextcloud in near real-time, allowing Reo to begin culling from the Philippines within minutes of an offload.
AEST
